Main Duties and Responsibilities:

  • Provide corporate secretarial and legal administrative support to a lean legal department for the Group entities.
  • Assist with drafting company resolutions, making simple amendments to template contracts, and proof-reading legal contracts. 
  • Work with relevant business units to plan and ensure smooth running of Board and Board sub-committee meetings. This includes logistics of meetings, collating of board papers and agenda through email, coordinating with external corporate secretarial service provider on statutory requirements and relevant distributions to the Board and Board sub-committees, generating minutes and incorporating comments from presenters and Board/Board sub-committees, circulation and coordinating signing of resolutions, etc.
  • Ensure statutory compliance and maintenance of legal and corporate secretarial records in coordination with external corporate secretarial service provider, and associated communications and interactions with stakeholders. 
  • Ensure timely statutory filings within the stipulated timelines.
  • Responsible for good record keeping and tracking of contracts and relevant records, reports and communications, and to work with business units accordingly.
  • Maintain trademark registered asset listing, communicate with business units and external counsel for relevant filings, and make updates and work with business units, where appropriate.
  • Assist Data Protection Officer with data compliance-related matters. 
  • Alert the Head of the Legal Department of upcoming timelines and compliance matters associated with any of the above.
  • Conduct legal research and other general administrative duties to support the Group as assigned from time to time.

 

Requirements:

  • ICSA Qualified (or in progress of being qualified) / Diploma in Law / Relevant Legal Secretary Qualification.
  • At least 4 years hands-on experience in a legal support function within a law firm and/or in-house environment. Ideally either as a corporate secretarial/paralegal/legal secretary.
  • Comfortable working with a lean legal team.
  • Hands-on approach, pro-active, knows how to take initiative, dynamic, meticulous and able to take processes from start to end.
  • Thrive in and adapt to a fast-paced and changing work environment.
    Independent and team collaborator.
  • Strong command of written and spoken English and interpersonal skills.
  • Able to work with multiple stakeholders.
  • Affinity with wildlife and nature and aligned with Group’s values.
